Payments and refunds

This text is a working template drawn up for a B2B sourcing company based in Benin. It must be reviewed and validated by legal counsel before final production use and does not constitute legal advice.Details still to be completed in Admin → Settings: societe, email, telephone.

1. What is invoiced

[societe to be completed] invoices the Customer for its sourcing service (commission and fees stated in the accepted Proposal), by means of an invoice issued after acceptance of the Proposal. Unless otherwise stated in writing in the Proposal, the price of the equipment is paid by the Customer directly to the Supplier, under the Supplier's conditions. Applicable taxes are shown on the invoice.

2. Payment methods

  • Bank transfer: bank details are shown on the invoice. Payment is confirmed by the team after the funds are actually received.
  • Online payment (when offered on the invoice): by Mobile Money or bank card, through the payment provider FedaPay. The Customer is redirected to the provider's secure payment page and then brought back to their client area.

Online payments are available in the currencies stated on the invoice. Any fees applied by the Customer's Mobile Money operator or bank remain payable by the Customer.

3. Payment confirmation

An online payment is only considered received after verification with the payment provider by the Company's systems; merely returning to the site does not constitute confirmation. The Customer receives an email and a payment receipt as soon as the payment is confirmed. In the event of a discrepancy (amount or currency different from the invoice), the payment is placed under verification and the team contacts the Customer. A failed or cancelled payment results in no charge; the Customer may try again or pay by bank transfer.

4. Due date and late payment

The invoice states its due date. If payment is not received by that date, the Company may suspend order preparation and ongoing services, after informing the Customer.

5. Security

The Company never has access to full card numbers or security codes; this data is processed exclusively by the payment provider. Each payment carries a unique reference; duplicates are detected and ignored.

6. Refunds

As the sourcing service is performed as soon as suppliers are invited, invoiced amounts are refundable only in the following cases: duplicate or excess payment; error attributable to the Company; inability of the Company to follow up on the accepted Proposal; written agreement between the parties. Any request is sent to [email to be completed] with the invoice reference.

A refund is made by the most suitable method (Mobile Money operator, bank transfer or through the payment provider) within a reasonable time after agreement, and gives rise to a credit note made available in the client area. The time for actual receipt depends on the Customer's operator or bank. The refund of the price of equipment paid to a Supplier is governed by that Supplier's conditions; the Company assists the Customer in the process.

7. Payments to Suppliers

Where the Company collects on behalf of a Supplier under a specific written agreement, payments to Suppliers are approved manually by the Company and give rise to a payment notice. No payment is triggered automatically.
